- Contact details – name, company name, email address, phone number.
- Order details – delivery and billing addresses, products ordered, garment sizes and staff names you ask us to add to garments.
- Artwork – logos and designs you upload for decoration.
- Account details – login details for your account or company uniform portal.
- Payment information – card payments are handled by our payment providers. We do not store full card details.
- Enquiries – anything you send us through our quote and contact forms, email or phone.
- Website usage – pages visited, device and browser information, collected through cookies (see section 8).
3. How we use your information
- To prepare quotes, mock-ups and orders, and to deliver them (legal basis: contract).
- To manage your account or company portal (contract).
- To keep accounting and tax records (legal obligation).
- To answer your questions and provide customer service (legitimate interests).
- To send you news and offers by email, where you have signed up or bought from us before. You can unsubscribe at any time using the link in every email (consent or legitimate interests).
- To keep our website secure and improve it (legitimate interests).
4. Who we share it with
We never sell your personal information. We share it only with trusted providers who help us run the business, including:
- DecoNetwork – our website, ordering and production system
- Xero – accounting
- Constant Contact – email newsletters
- Google – website analytics and spam protection (reCAPTCHA)
- Payment providers, couriers and garment suppliers, where needed to complete your order
We may also share information where the law requires it. Some providers store data outside the UK. Where they do, we rely on approved safeguards such as UK adequacy regulations or standard contractual clauses.
5. How long we keep it
We keep order and accounting records for 6 years, as required by HMRC. We keep enquiries that don’t lead to an order for up to 2 years. We keep marketing contacts until you unsubscribe. Artwork is kept on file so you can reorder easily. Ask us any time if you want it removed.
6. Your rights
You have the right to access, correct or delete your personal information, to object to or restrict how we use it, to ask for a copy in a portable format, and to withdraw consent at any time. To make a request, email sales@westcoastworkwear.co.uk. We will respond within one month.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
7. Security
Our website uses SSL encryption and we limit access to personal information to staff who need it. No method of sending data over the internet is completely secure, but we take reasonable steps to protect your information.
