Terms & conditions of sale
These terms apply to every order placed with Westcoast Workwear Ltd (Company No. 12933247), online, by phone, by email or through a customer portal.
- Quotes. Quotes are valid for 30 days and are based on the quantities, colours and logo sizes stated. Changes may change the price.
- Prices. Website prices are shown excluding VAT unless stated. VAT is added at the current rate. Delivery charges are shown in our Delivery policy below.
- Minimum order. There is no minimum order, including for embroidery.
- Logo setup. Logo setup (digitising or screens) is free on orders over £100 ex VAT. Below that, a setup charge applies and is shown on your quote.
- Proofs. We send a digital proof before production. Production starts only once you approve it. Please check spelling, colours, size and position carefully: once approved, mistakes on the proof are your responsibility.
- Colours. Thread and ink colours are matched as closely as possible. Small differences between screen, proof and finished item are normal and are not a fault.
- Garment tolerances. Sizes and colours can vary slightly between brands and batches. Size guides are a guide only. Logo placement can vary by up to 1 cm.
- Lead times. Standard lead time is 5–7 working days from proof approval and payment. Dates we give are estimates; we are not liable for losses caused by delays outside our control.
- Payment. Orders are paid in full before production unless we have agreed a credit account with you. Approved account customers pay within 30 days of invoice. Goods remain our property until paid for in full. We may charge late-payment interest under the Late Payment of Commercial Debts (Interest) Act 1998.
- Cancelling. You can cancel free of charge before you approve your proof. After approval, branded items are made to order and cannot be cancelled. Plain (unbranded) items follow our Returns policy.
- Your artwork. You confirm you own or have permission to use any logo, name or design you send us (see Artwork & intellectual property).
- Our liability. If we are at fault, our liability is limited to replacing the goods or refunding the price paid. We are not liable for indirect losses such as lost profit. Nothing here limits liability for death or injury caused by negligence, or your statutory rights as a consumer.
- Customer portals. Portal pricing and products are agreed with the portal owner. Orders placed on a portal follow these terms unless your contract says otherwise.
- Law. These terms are governed by the law of England and Wales.

Complaints handling
If something goes wrong, we want to know and put it right quickly.
- Tell us: email sales@westcoastworkwear.co.uk or call 0800 169 2228 with your order number, what went wrong and photos if you can.
- We acknowledge it within 1 working day and tell you who is dealing with it.
- We aim to resolve it within 5 working days. If it takes longer, we'll keep you updated.
- Not happy with the answer? Ask for it to go to our Director, who will review it and reply within 10 working days.
Every complaint is logged and reviewed so we can stop it happening again.
Artwork & intellectual property
You must own, or have permission to use, every logo, name and design you ask us to print or embroider.
- Your artwork stays yours. We only use it to make your orders. We keep it on file so re-orders are quick; ask and we'll delete it.
- Permission. By sending artwork you confirm it doesn't break anyone's trademark or copyright. You agree to cover any claim made against us because it does.
- We can say no to any design we think infringes someone's rights, or is offensive or unlawful.
- Our designs. Mock-ups, designs and embroidery files we create remain ours until the order is paid for. Our own-brand garment designs stay ours.
- Showcasing your work. We may share photos of finished orders on our website and social media. Tell us if you'd rather we didn't.
- Best file types: vector files (AI, EPS, PDF or SVG). We can redraw low-quality logos; we'll tell you if there's a charge first.
Quality policy
Our aim is simple: the right garments, branded right, delivered on time – every order, since 1995.
- Send a proof for every branded order and only produce once it's approved
- Check every order before it leaves: right items, sizes, quantities, logo position and finish
- Keep lead times to 5–7 working days and tell customers early if anything changes
- Train our team on our machines, processes and products
- Log every complaint and mistake, fix the cause, and track it so it doesn't happen again
- Ask customers for feedback and review our performance regularly
We are working towards ISO 9001 certification. This policy is set by our Director and reviewed every year.
Environmental & sustainability policy
Westcoast Workwear is committed to cutting the environmental impact of everything we make, print and deliver from our Southport unit. We have signed the SME Climate Commitment.
What we do now:
- Offer recycled, organic and eco ranges alongside standard garments, and point customers to them
- Produce to order, so we don't make stock that ends up as waste
- Use water-based inks and energy-efficient equipment where possible
- Group deliveries and offer click & collect to reduce courier miles
What we're working towards:
- Measuring our carbon footprint and halving emissions by 2030, reaching net zero by 2050
- ISO 14001 environmental certification after ISO 9001
- More recycled and lower-impact products in our core ranges
This policy is reviewed every year by our Director and shared with all staff.
Ethical sourcing policy
We only buy from suppliers and factories that treat their workers fairly and safely. We expect every supplier, including the overseas factory that makes our own-brand clothing, to:
- Use no forced, bonded or child labour
- Pay at least the legal minimum wage and keep working hours within the law
- Provide safe, clean and healthy workplaces
- Allow workers to join a union and speak up without fear
- Treat all workers equally, with no harassment or discrimination
- Follow local environmental laws
These standards are based on the Ethical Trading Initiative (ETI) Base Code.
How we check: we mainly buy from established brands that publish their own ethical audits (such as Sedex/SMETA, amfori BSCI, WRAP or Fair Wear). For the overseas factory that makes our own-brand clothing, we ask for and review its independent audit reports.
If a supplier falls short, we work with them to fix it. If they won't, we stop buying from them.
Modern slavery statement
Westcoast Workwear has zero tolerance of modern slavery and human trafficking in our business and supply chain. We publish this statement voluntarily, because our customers and public-sector buyers expect it.
Our business. We supply branded workwear, uniforms and promotional merchandise from Southport, and design and manufacture our own clothing overseas. We buy garments and merchandise from UK and European wholesalers.
Our risks. The biggest risk sits in garment and merchandise manufacturing overseas, not in our own workplace.
What we do:
- Follow our Ethical sourcing policy with every supplier
- Prefer suppliers with independent ethical audits
- Check right-to-work for every employee and casual worker, and pay everyone directly
- Brief staff on the warning signs and how to report concerns
- Review this statement every year
Report a concern: email sales@westcoastworkwear.co.uk (marked "Confidential – Director") or call the Modern Slavery Helpline on 08000 121 700.
Approved by the Director, Westcoast Workwear Ltd. Statement for 2026–27.
Whistleblowing policy
Anyone who works with us – staff, casual workers, suppliers or customers – can report wrongdoing safely.
- What to report: fraud, bribery, health and safety dangers, environmental harm, modern slavery, or breaking the law.
- How: speak to our Director, or email sales@westcoastworkwear.co.uk marked "Confidential – Director". If the concern is about the Director, contact the charity Protect (protect-advice.org.uk).
- Your protection: you will not be treated unfairly for raising a genuine concern, even if it turns out to be wrong. Staff are protected by the Public Interest Disclosure Act 1998.
Accessibility statement
We want everyone to be able to use our website and order from us easily. We are a Disability Confident Committed employer.
- We aim to meet the WCAG 2.2 AA accessibility standard: readable text, good colour contrast, image descriptions and keyboard-friendly navigation.
- Some parts of the site, such as the online logo designer, are run by third-party software and may not be fully accessible.
- Struggling with anything? Call 0800 169 2228 or email sales@westcoastworkwear.co.uk and we'll take your order by phone or email instead.
